Propio LS, LLC and its affiliates (“Propio” “we” “our” or “us”) are global language services providers. This Privacy Notice explains how we collect, use, share and protect personal data in accordance with applicable data protection laws and any applicable implementing regulations, including the California Consumer Privacy Act (CCPA), Children’s Online Privacy Protection Act (COPPA), the General Data Protection Regulation (EU) 2016/679 (GDPR), the UK GDPR, the Swiss Federal Act on Data Protection (FADP), the Irish Data Protection Act 2018, the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA), and other relevant privacy laws.
1. Who We Are
Propio provides interpreting, translation, localization, related services, and technology services worldwide.
Propio as a Data Controller: Propio acts as a Data Controller when processing the personal data of job applicants, employees, clients, independent contractors, vendors, and marketing recipients, including website visitors.
Propio as a Data Processor: when processing personal data provided by clients in connection with translation, interpretation or localization projects, Propio acts as a Data Processor.
2. What Personal Data We Collect
You are not required to submit any personal data to us, but we will require you to provide certain personal data in order for you to receive additional information about our services and events. We will ask for your permission for certain uses of your personal information, and you can agree to or decline those uses. If you opt-in for particular services or communications such as marketing communications, you will be able to unsubscribe at any time by following the instructions included in each communication. If you decide to unsubscribe from a service, we will try to remove your information promptly, and may require additional information before we can process your request. The type of personal data we collect depends on your relationship with Propio. Generally, we may collect the following categories of information:
- Contact details such as a name, email address, mailing address, phone number, role, employer details
- Employment data such as a name, email address, mailing address, phone number, qualifications, work experience, references, certifications, government identification numbers, background check information
- Client/vendor data such as business contact details, financial information for invoicing, contractual correspondence
- Project-related data such as personal data contained within documents submitted by clients for translation/localization
- Website usage data such IP address, browser type, device ID, cookies, web beacons, wayfinding technology, and analytics data
- Special category data such as information relating to health, race, religion, union membership, biometric data, or other sensitive categories where required for service provision, subject to appropriate safeguards
- Identifiers such as unique device identifiers, commercial information such as transaction history or service preferences, geolocation data, and inferences drawn to create profiles reflecting service usage or preferences
- Personal data that you provide voluntarily, for example, if you attend a webinar, we may collect business contact information about you such as your name, title, employer, work e-mail address, mailing address, and phone number
If you choose to share your information with Propio, or register or login to a Propio service using a third party service that authenticates your identity and/or connects your social media login information, we will collect any information or content needed for the information that you have permitted the social media provider to share with us, such as your name and email address. Other information we collect depends on the privacy settings you have set with your social media provider and are subject to that provider’s terms and conditions.
We do not sell or share personal information for cross-context behavioral advertising.
Some of Propio’s services may use Google Analytics. Information about how Google uses personal data may be found at https://business.safety.google/privacy/.
3. Purposes and Legal Bases for Processing
We process personal data for the following purposes:
- To deliver services and related contractual necessity
- To manage recruitment and employment, for both contractual necessity and legal compliance
- To comply with applicable law such as tax, employment, or anti-fraud obligations
- For Propio’s legitimate interests provided interests are not overridden by data subject rights e.g., client/vendor communications, IT and security monitoring, business continuity
- In accordance with the data subject’s consent, including for specific activities such as marketing communications
Where our processing involves a special category data under GDPR, we rely on:
- Explicit consent by the data subject
- Applicable law
- Establishment, exercise, or defense of legal claims
- The provision of health or social care or treatment and/or the management of health or social care systems and services
Additionally, for residents of California, processing may also be justified under the CCPA where necessary to fulfil a business purpose or to comply with a consumer request to exercise their rights. For Canadian residents, processing of personal information is carried out based on your knowledge and consent in accordance with PIPEDA and other lawful basis. We do not knowingly collect or maintain personal data from children under the age of 13 in accordance with COPPA, except to the extent necessary in connection with an engagement to provide professional services. If we become aware that such data has been collected, we will promptly delete it.
4. How We Collect Personal Data
We collect personal data:
- Directly from you, such as by applying for a job, or in connection with business communications.
- Indirectly from third parties such as recruiters, references, background check vendors
- From clients, where personal data is provided in connection with service delivery
- Automatically via our website, using tools such as cookies, web beacons, or analytics tools
5. How We Use Personal Data
Propio’s use of your personal data will be limited only to the purposes for which it is collected and in the manner outlined in this Privacy Notice. Your personal data will only be used (i) as necessary for the performance of a contract, (ii) to comply with a legal obligation, (iii) in connection with Propio’s legitimate business interests to the extent such interests do not outweigh your privacy interests, and/or (iv) in accordance with your consent, which may be withdrawn at any time. Your personal data is not used for other purposes unless we obtain your permission or are otherwise required or permitted by law or professional standards.
Without limitation, here are some examples of Propio’s legitimate interests related to your personal data:
- Offering information, products, and/or services to individuals who visit our website
- Related to seeking employment opportunities
- Protecting against and preventing fraud or criminal activity
- Customizing your experience with our services
- Improving and enhancing our services
- Conducting and analyzing our marketing activities
- Complying with applicable laws and regulations
- Exercising the rights enumerated in Articles 16 and 17 of the Charter of Fundamental Rights of the European Union
If you provide information about your preferences while using a Propio service, we may use this information to personalize your user experience. Propio’s services may also recognize you as the same user across any different devices and platforms you use and personalize your user experience across other Propio services you use, especially if you register or login using a third-party single sign-on service.
If you send us personal data in connection with applying for a job opportunity with Propio, we will use your personal data to evaluate you for available job opportunities and maintain such personal data in accordance with applicable law and this Privacy Notice.
We may employ third-party companies and individuals to facilitate our products and services, to provide the services on our behalf, to perform related services and/or to assist us in analyzing how our products are used. These third parties have access to your information only to perform specific tasks on our behalf and are obligated not to disclose or use your information for any other purpose. Propio does not disclose your personal data to third parties for marketing purposes. We do not rent, exchange, share and/or cross-reference information, including contact information about you that will enable third parties to contact you regarding products and services that may be of interest to you.
We may share personal data with:
- Vendors and service providers such as IT providers, payroll processors, service providers that support our infrastructure and products, and payment providers
- Affiliates and subsidiaries within Propio’ group of companies
- Internal teams in connection with delivering our services, such project managers, or quality assurance professionals
- Clients acting as Data Controllers or Data Processors where we act as a Data Processor of personal data provided by such client
- Lawful authorities, where required by law or regulation
- Business successors in connection with a merger, acquisition, or restructuring
All third parties are bound by contractual or other legal obligations to protect personal data and process it only in accordance with Propio’s instructions and applicable laws. We do not sell personal information as defined under the CCPA. If we disclose personal data to third parties for business purposes, we do so under written contracts requiring them to protect it and use it only for authorized purposes.
Propio’s services may also contain links to third party websites, for the convenience of users in locating information, products, or services that may be of interest. If you access a third-party website from a Propio service, any information you disclose on that website is not subject to this Privacy Notice. It is possible that these links may be used by third parties or others to collect personal or other information about you. We are not responsible for the privacy practices of such websites, advertisers, or third parties or the content of such websites and it is your sole obligation to review and understand the privacy practices and policies of these other websites. We do not control the use of cookies or the collection of information by these third parties, nor how they manage such information. It is solely your obligation to review and understand the privacy practices and policies of these other websites, advertisers, and any third parties.
If any Propio services incorporate social media sharing functions, these social media applications may collect and use your personal data. Such interactions are governed by the privacy policies of the social media application provider, and Propio has no control over, or responsibility for, the use of your personal data by such providers. Moreover, any personal data you provide either using or for use by a social media application is generally available to other users of that application, and Propio has no control over how your personal data may be used.
6. Marketing Communications:
Where required by law, Propio relies on your consent to send you electronic marketing communications (e.g., email newsletters, promotional updates). You may withdraw your consent at any time by using the unsubscribe link in our emails or by contacting us at privacy at propio.com.
In some cases, Propio may rely on its legitimate interests to send marketing communications to existing clients or business contacts, provided these communications relate to services similar to those already provided, and you have not opted out. You have the right to object to such processing at any time.
If you would like to opt-out of receiving marketing via email, either click the unsubscribe link on the footer of marketing emails or send an email to privacy at propio.com. If you would like to opt-out of receiving communication via postal mail, contact us via our Contact Us form, or call customer service at (888) 528-6692. Propio may continue to send you non-promotional, service emails concerning your account, such as emails relating to available upgrades, billing and payment information, and other communications relating to your use of a Propio service.
At your request, Propio will confirm what personally identifiable information it collects or holds about you, and will correct, update and/or remove such information. You may contact Propio for any of the foregoing via our Contact Us form. If you ask that Propio stops using or sharing your personally identifiable information, we will honor that request. However Propio may retain records of your personally identifiable information for a period of time; for example, to follow-up on a request, resolve a dispute or for similar reasons or in order to comply with applicable federal, state, or local law. In addition, some personal information may also continue to be stored on back-up files for financial, legal, or technical reasons. Additionally, California Civil Code Section 1798.83 (also known as the “Shine The Light” law) permits users who are California residents to request and obtain from us once a year, free of charge, information about the personal information (if any) we disclosed to third parties for direct marketing purposes in the preceding calendar year. If applicable, this information would include a list of the categories of personal information that was shared and the names and addresses of all third parties with which we shared information in the immediately preceding calendar year. 7. Data Retention
We retain personal data only for as long as necessary for the purposes for which it was collected, and in line with our retention policy:
- Applicants for employment: 3 years or longer if required by applicable law
- Employees: the duration of employment plus 4 years
- Client/vendor data: a minimum of 10 years
- Client project files: a minimum of 10 years, unless otherwise agreed
- Marketing data: until consent is withdrawn or an opt-out request is received
8. International Data Transfers
Propio operates globally and may transfer the personal data of citizens of the EU or UL outside the EEA/UK. Where we do so, we implement appropriate safeguards as required under Articles 44–49 GDPR, including:
- Adequacy decisions by the European Commission/UK Government.
- Standard Contractual Clauses approved by the European Commission or UK ICO.
- Transfer Impact Assessments and supplementary measures to ensure equivalent protection.
9. EU-US Data Privacy Framework
Propio complies with the EU–US Data Privacy Framework (EU–US DPF), the UK Extension to the EU–US DPF, and the Swiss–US Data Privacy Framework (Swiss–US DPF) (collectively “DPF”), as set forth by the U.S. Department of Commerce. In compliance with the DPF Principles, Propio commits to the following:
- Independent Recourse Mechanism: unresolved complaints regarding our compliance with the DPF may be submitted free of charge to JAMS at https://www.jamsadr.com/DPF-Dispute-Resolution. This mechanism is available at no cost to individuals.
- Binding Arbitration: as a last resort, and under limited circumstances, individuals may invoke binding arbitration before the DPF Arbitration Panel.
- Enforcement: Propio is subject to the investigatory and enforcement powers of the U.S. Federal Trade Commission.
- HR Data: for human resources data transferred from the EU/UK in the context of the employment relationship, Propio commits to cooperating with the competent EU/UK supervisory authorities.
10. Security
We implement appropriate technical and organizational measures to protect personal data, including encryption, access controls, secure storage, and regular testing of our systems. However, no system can be guaranteed 100% secure.
11. Your Rights
If you are located in the EEA, UK, or other regions with similar laws, you have the following rights under GDPR:
- Right of access (Art. 15)

- Right to erasure (Art. 17)
- Right to restriction (Art. 18)
- Right to portability (Art. 20)
- Right to object (Art. 21)
- Rights regarding automated decision-making (Art. 22)

12. Complaint Mechanisms
If you have concerns about how Propio processes your personal data, we encourage you to contact us first at privacy at propio.com so that we can address your concerns.
You also have the right to lodge a complaint with a supervisory authority:
- Ireland: Propio’s lead supervisory authority is the Data Protection Commission (DPC), 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland (www.dataprotection.ie).
- United Kingdom: If you are located in the UK, you may also lodge a complaint with the Information Commissioner’s Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF (www.ico.org.uk).

In compliance with the DPF, Propio commits to cooperate and comply respectively with the advice of the panel established by the EU data protection authorities and the UK Information Commissioner’s Office and the Swiss Federal Data Protection and Information Commissioner with regard to unresolved complaints concerning our handling of human resources data received in reliance on the DPF in the context of the employment relationship.
13. Accountability for Onward Transfer
Personal data is transferred only for limited and specified purposes, and always in line with the notice and choice principles. Propio enters contracts with third-party processors specifying that they will provide the same level of protection as required by the principles and will notify us if they can no longer meet those obligations.
Propio discloses personal data only to third parties who reasonably need to know such data for the purposes it was collected. Such recipients are bound by confidentiality and data protection agreements. Propio monitors its third-party suppliers to ensure ongoing compliance.
We may also disclose personal data to our clients when a data subject has consented or requested such disclosure. Propio remains responsible and liable under the DPF if third-party agents process personal data inconsistently with the principles, unless Propio proves it is not responsible for the event giving rise to the damage. Propio may also be required to disclose personal data in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.
14. Cookies and Tracking
Propio uses cookies and similar tracking technologies on our websites. Non-essential cookies (such as analytics and marketing) are only used with your consent. Our online personal data collection methods may not recognize all web browser based “Do Not Track” signals. However, you may be able to modify your Internet-enabled device’s web browser settings to block all cookies or third-party cookies. For details, see our Cookie Policy.
15. Updates to this Notice
We may update this Privacy Notice from time to time. Any changes will be posted on our website and, where appropriate, notified to you by email.
16. Controlling Law and Venue
Except as superseded by applicable law, the construction and interpretation of this Privacy Notice and the relationship between the parties shall at all times and in all respects be governed by the internal laws of Kansas, without giving effect to the conflict of laws provisions thereof. Venue of any action brought to enforce or relating to this Privacy Notice or arising out of the relationship between the parties shall be brought in state or federal courts of competent jurisdiction in Johnson County, Kansas.
17. Contact Us
Except as prohibited by law, Propio may, in its sole discretion, terminate or suspend your access to all or part of a Propio service for any reason, including, without limitation, breach this Privacy Notice. You agree that breach of any of the terms of this Privacy Notice may result in the immediate termination of your access. The terms and conditions of this Privacy Notice and all restrictions on you regarding information downloaded or obtained from the website shall survive any cancellation or termination of your right to use a Propio service.
